Work materials for festival planning
Which quantities, denominations and shifts can you prepare?
Calculate a drink estimate, change denominations and a shift plan directly in your browser. Each tool shows inputs, result and the next step; a worked example explains the output. The tools need no Bierblock account and store nothing: print your result before closing the page.
01 / PLAN DRINKS
How much should you plan for?
A rough quantity guide for beer, wine and soft drinks. These are estimates, not a sales forecast.
Your rough drink estimate
- Beer
- Wine
- Soft drinks
An estimate, not a sales forecast: children, drivers, non-alcoholic preferences, serving sizes and the programme are not modelled individually. Plan water and non-alcoholic options independently of the result.
Compare the estimate with your experience, delivery containers, return conditions and cooling and storage capacity. The calculator does not round up to barrels or crates.
Not stored: print the estimate before closing the page. The printout is your save path; the entries stay in this browser only.
How is the drink estimate calculated?
This is our own rule of thumb, not a sales forecast: guests × hours × rate per guest-hour × temperature factor × 1.15 planning and refill buffer. The base values are editorial starting assumptions, not industry or consumption standards.
Per guest-hour the calculator assumes 0.18 L beer, 0.02 L wine and 0.16 L soft drinks for a morning gathering; in the evening 0.22 L, 0.04 L and 0.14 L. In hot weather the factors are 1.10 / 0.90 / 1.30, in cool weather 0.90 / 0.95 / 1.15 (beer / wine / soft drinks).
Example: 180 guests × 5 hours at a hot evening event produce 250.47 L beer (2.50 hl), 37.26 L wine (0.37 hl) and 188.37 L soft drinks (1.88 hl). Litre and hectolitre figures are rounded to two decimals; calculations use unrounded values, so rounded parts may differ slightly from a rounded total.
The guest mix, actual serving sizes, range, programme breaks and take-away behaviour are not modelled individually. Check delivery containers, returns and cooling capacity yourself; do not order from the calculated value alone and plan water and non-alcoholic options independently.
02 / CALCULATE CHANGE
The right denominations instead of a generic cash drawer
Prices determine which change can occur. The tool calculates the required denominations and an editable starting proposal using the same core logic as the Bierblock app.

Denominations per till and total quantity for the bank
| Denomination | Qty per till | Total quantity | Total value |
|---|
The quantities are editable. The calculator records neither till sales nor cash transactions and does not replace a till reconciliation. Check actual demand and count each till when issuing and handing over.
Not stored: print the order list before closing the page. The printout is your save path; the entries stay in this browser only.
03 / COORDINATE SHIFTS
A shift plan with a clean handover
Create time slots for your station, enter volunteers directly in the plan and agree every handover together.
Your shift plan
| Shift | Time | Enter volunteers | Handover |
|---|
The outgoing shift remains responsible until handover is confirmed. Plan breaks and replacements separately. Names and entries stay in this browser page and are not stored or transmitted.
Not stored: print the plan before closing the page. The printout is your save path; volunteer names and handover confirmations stay in this browser only.
04 / SAVE RESULTS
Printing is your save path
The three tools store nothing. Entries, prices and volunteer names stay in this browser page and are not transmitted to a server or to analytics. They are gone after you close the page.
Save the result before closing the page with the print button on the result. The printout contains only the result, not the form.
The printout is a worksheet, not an app record: Bierblock does not transfer the values into an event automatically. Maintain the range, access and prices separately in the app.
Record tasks, dates and responsibilities in the club festival checklist.
05 / PREPARATION
The festival checklist is here too.
Plan tasks from early preparation through the festival and shift handovers to the debrief, assign owners and print your list as a PDF if needed.
